Responsibilities
- Provide strategic calendar and time management with meticulous attention to detail and accuracy
- Seek business context to resolve ambiguity, prioritize meetings, and identify key participants
- Collaborate with stakeholders in decision-making while maintaining confidentiality
- Respect executive scheduling preferences and restrictions; ensure meeting materials and logistics are in place
- Manage end-to-end domestic and international travel, including agendas, logistics, and policy compliance
- Proactively secure necessary documentation such as passports and visas; provide support during travel
- Reconcile expenses promptly and within company policy
- Oversee personnel operations including onboarding, offboarding, and PCN/req maintenance
- Ensure accurate organizational reporting and headcount data
- Manage team discretionary budget in partnership with Chief of Staff; track spending and approve expenses
- Facilitate team experience activities and engagement in alignment with leadership
- Support hardware procurement, inventory tracking, and issue resolution
- Oversee team space logistics including space allocation, office moves, and collaboration with stakeholders
- Maintain data accuracy in Employee Central and space maps
- Lead end-to-end planning and execution of meetings and events, including venue, AV, catering, and scheduling
- Develop detailed workback schedules, engage internal and external resources, and mobilize support as needed
- Collaborate closely with stakeholders to ensure successful event delivery and continuous improvement
- Model professional conduct and leadership within the Business Support discipline
- Stay composed and self-aware during high-stakes or challenging situations
- Actively participate in administrative trainings, meetings, and corporate initiatives
- Foster meaningful relationships and build community across the organization
- Mentor peers and be open to mentorship; exchange best practices and insights
- Support onboarding of new administrative team members
- Build cross-org networks and serve as liaison between executives and teams
- Consolidate and share information to prepare key stakeholders and inform broader teams
- Communicate with external partners and third-party stakeholders as needed
- Represent leaders and the company professionally and appropriately
- Understand and align with annual and ongoing ROB cycles
- Own and drive meeting cadence execution in collaboration with leadership and Chiefs of Staff
- Maintain distribution channels including security groups, M365 memberships, and GMM lists
Requirements
- 5+ years of experience in administrative support, business operations, or customer service within fast-paced environments
- Proven expertise in scheduling meetings and events, managing travel logistics, and handling administrative tasks for executive or upper-level management
- Proficiency in Microsoft 365 Products, including: Word, Excel, Outlook, PowerPoint, OneNote, OneDri Shve,arePoint
- Bachelor's Degree in a relevant field or equivalent professional experience
- 2+ years mentoring others in administrative roles
- 3+ years managing administrative budgets for events, morale initiatives, travel, and training
- Demonstrated experience working with C-suite executives and internal/external executive offices
- Exceptional adaptability in team settings; able to pivot quickly and foster relationships across diverse organizational and functional boundaries
- Proven ability to work autonomously, applying problem-solving skills with a commitment to follow-through and achieving results
- Ability to manage multiple demands and meet deadlines in dynamic environments
- Sound judgment, organizational strength, solid work ethic, and polished verbal and written communication skills
- Humble, proactive, and positive 'can-do' attitude with a commitment to confidentiality and professionalism
- Collaborative team player, eager to contribute and take on diverse responsibilities as needed
