As a member of the Apple Services Engineering (ASE) Operations Team, this role is responsible for managing scheduling, organizational logistics, budget oversight, and operational processes.
- Sr. Manager/Director Calendar Management: Coordinate meetings, conference calls, and book both domestic and international travel arrangements for the Digital Supply Chain Engineering (DSCE), Apps, Music, and Podcasts teams.
- Building and Facilities Support: Oversee space planning, manage facility needs, ensure office supplies and equipment are available, and handle building access and related logistics in site location.
- Fiscal Planning Support: Apply knowledge of finance policies to manage internal and external orders, ensuring compliance and efficiency.
- Logistics and Operations Support: Provide operational support to a growing team of engineers and assist other admins as needed, ensuring smooth day-to-day operations.
- Cross-Location Coordination: Work closely with administrative teams at other locations to understand specific processes and procedures, and assist in coordinating leadership visits across sites.
- Office Support: Manage office space planning, maintain printers, coordinate IS&T support, and handle the ordering of office materials and supplies.
- 2+ years of experience as an Administrative Assistant, supporting senior-level management.
- Proficient with iCal, Keynote, Mail, eApproval, Quip, Box, Confluence, and other OSX-based office systems.
- A self-starter with strong judgment, capable of making effective decisions.
- Skilled in multitasking, maintaining calm and confidence under pressure.
- Curious, adaptable, and a dedicated problem solver.
- Proven ability to build collaborative partnerships across functions and levels, excelling as a team player.
- Capable of influencing others with a calming presence, while ensuring tasks are handled efficiently and accurately. Understands when to escalate issues.
- Exceptional attention to detail, accuracy, and timeliness.
- Professional demeanor with the ability to work autonomously, handling sensitive and confidential information with discretion and integrity.
