About the role

The Washington State Department of Corrections (DOC) is seeking a dedicated and detail-oriented Corrections Specialist Assistant to join our team at the Washington Corrections Center for Women. In this role, you will collaborate closely with custody staff, Human Resources, Payroll, and Training to ensure the smooth operation of roster management. Responsibilities include coordinating accurate position assignments, scheduling training, and managing vacation requests—all vital to maintaining a safe and efficient workplace. By supporting roster accuracy across all shifts, you play a key role in advancing the Department’s mission. Responsibilities

  • Produce the daily duty roster (schedule), using a highly complex computer program (ATLAS), for custody staff covering all three shifts, 24/7
  • Directly schedule custody leave requests without exceeding the allotted daily relief factor to avoid overtime by using the electronic leave book (Excel Workbook) and ATLAS
  • Verify each request for accuracy and available relief by shift
  • Assign staff as relief for vacations and absences in the absence of the Roster Manager
  • Ensure the Shift Commanders have the correct information and resources available for each position/post to provide supervision/security in the facility
  • Track Personal Holiday and CBA requests using the Excel spreadsheet developed for this tracking, in order to meet requirements of the CBA and arbitrator decisions
  • Prepare Annual Vacation Calendar
  • Audit daily shift summaries, research inconsistencies and correct errors within payroll processing deadlines
  • Maintain shift rosters and shift summaries for payment of overtime and time worked
  • Update the database of the ATLAS computer system on a daily basis to bring the existing roster up to date
  • Create assignment changes in ATLAS as needed in the absence of the Roster Manager
  • Schedules training, based on predetermined training schedule provided by the training department
  • Provide Administrative Support

Requirements

  • High School Diploma or GED
  • The equivalent of three years full-time experience in office/clerical, secretarial, bookkeeping, accounting, or general administrative work
  • Proficient in Microsoft Outlook, Teams, Word, Excel and Access
