About the role
Provide top-notch executive assistance and project support to Senior Executives. This role offers a unique opportunity to gain experience in Treasury programs, while acting as a visible champion for AIG’s Culture.
Responsibilities
- Provide top-notch executive assistance and project support to Senior Executives.
- Work with executives to organize, schedule and effectively prioritize daily activities.
- Support operations including calendar management, travel and expense, meeting set up, planning and overall workflow.
- Liaise with Bank and Rating Agency contacts to calendarize meetings, reserve meeting spaces and prepare conference rooms for meetings.
- Coordinate travel arrangements, both domestic and international.
- Prepare and submit accurate and timely expense reports in Concur.
- Draft and produce grammatically accurate documents and correspondence including contracts, presentations, emails, letters, memos, and spreadsheets, for internal and external use.
- Manage phones, transferring, conferencing and routing all business related calls in a discreet and professional manner.
- Anticipate the needs of, organize, and maintain complex business calendars; prioritize and coordinate high volume and ever-changing schedules and priorities.
- Provide project coordination and planning on various cross-functional initiatives.
- Drive seamless communication by liaising with internal executives and external stakeholders.
- Assist team members in preparation of presentations, reports, and updates.
- Coordinate all IT issues needed, including arranging for help desk support and systems related matters.
- Assist with new hire onboarding by ensuring all systems and applications needed are up and running on a timely basis.
- Assist in off-boarding logistics as needed.
- Organize team events and assist in team communication as needed.
- Provide assistance for event planning, including transportation, catering, materials prep and distribution, and liaising with external partners.
Requirements
- Bachelor’s Degree preferred, or equivalent work experience.
- Experience supporting senior executives, preferably in a large, multi-national environment.
- Demonstrated Executive Assistant experience and project coordination experience supporting senior executives with demonstrated experience working with management at all levels and across various departments and groups.
- Skilled at managing complex calendars and coordinating travel arrangements internationally and domestically.
- Detailed knowledge of MS Office software including Word, Excel, and PowerPoint.
- Advanced ability to prioritize tasks and work with minimal supervision in a fast-paced environment.
- Dependable, proficient in multitasking and extremely detailed oriented.
- Must be a self-starter and take initiative, highly proactive and self-disciplined.
- Excellent verbal and written communication skills.
- Tact and good judgement in confidential situations.
- Must have strong interpersonal, organizational skills and be detail-oriented.
- Maintain discretion, project professional demeanor, and use independent judgement - especially under pressure.
- Ability to think strategically to keep the senior executive on track.
- Tech savvy in order to problem solve and help the executives and team.
- Proficiency in MS Office, SAP, Concur, Ariba , Sharepoint, and Fieldglass.
