Responsibilities
- Provide clerical support for the Resolution Program
- Facilitate, direct, and implement all aspects of the facility's Resolution Program
- Provide confidential administrative assistance to the Resolution Specialists
- Implementing the program in accordance with DOC RP Manual, and Policy 550.100
- Ensuring OMNI applications are updated in a timely manner and screens are closed out according to timelines
- Providing the incarcerated individual population with relevant documentation, information, and access to the Resolution Program
- Collecting all complaints, in accordance with policy, from the facility Resolution boxes
- Scanning appropriate resolution documentation into OnBase in a timely manner and using the appropriate applications
- Confirming all resolution documentation is accurate and filed for appropriate processing
- Exercise independent decision-making authority and discretion to decide which work methods to use, tasks to perform, and procedures to follow to meet work objectives
- Reviewing documents for compliance
- Ensure timely interviews are conducted
- Track all assigned reviews ensuring administrative responses are timely
- Transcribe written resolution requests at all levels to appropriate form(s)
- Establish, manage, and maintain electronic correspondence with staff and incarcerated individuals
- Provide and prepare documentation for Public Disclosure Requests
- Analyzing resolution data, reviewing trends within the facility in a timely manner
- Assist with training of reviewing staff, as needed
- Record Keeping
- Establish and/or maintain complex and/or manual file systems or data base files
- Access and retrieve files from databases as needed for the resolution process and/or to assist the Resolution Specialists
- Develop and/or maintain specialized tracking systems, as required, to keep Resolution Specialists aware of all timelines and status of resolutions processed through the Resolution Department
Requirements
- High School Diploma or equivalent
- Four years' experience in a correctional field office or institution, (two years of which must be in a senior clerical position or higher)
