About the role
Prepare and file reports generated through the office dealing with budget forecasting, daily/weekly volume reports, overtime reports and any other reports or correspondence as required by Corporate Office and/or Managers and Supervisors. Order equipment and supplies as needed. Receive and process correspondence going in and out of the office. Code and process invoices in company bill-paying system. Organize and maintain all filing of correspondence, reporting and inspections. Maintain handbooks and procedures regarding safety and regulations and assist the Manager with compliance assurance. Ensure all timesheets are completed and reported accurately according to Company policy. Serve as receptionist when needed and handle and/or route incoming telephone calls. Schedule employee training and assist with travel details for employees. Perform various duties to maintain the Company’s building, facilities and equipment appearance as neat and orderly. Provide assistance with any other tasks as assigned.

Requirements
- High School Diploma or equivalent
- A minimum of 2 years administrative assistant experience or equivalent office experience
- Proficient in Microsoft Word, Excel, PowerPoint and Outlook, with emphasis on Excel (short-listed candidates will be required to complete an assessment);
- Strong analytical skills, with ability to make independent decisions and judgments, and exercise initiative with accuracy and attention to detail.
- Capable of effectively interacting with personnel within the organization as well as with vendors and customers
- Good organizational and multi-tasking skills with demonstrated ability to prioritize effectively and meet deadlines.
- Valid driver’s license with a clean abstract
- Cleared criminal history (background) and satisfactory reference checks
- Compliance with the Company’s drug and alcohol policy including pre-employment D&A
